Institutional use conditions
Terms of Use
These draft terms set expectations for use of WIINS OT by authorised clinical and administrative personnel. The final terms must be approved by the responsible WIINS authority.
1. Scope and eligible users
WIINS OT is an institutional operating-theatre, surgical-record and research workflow application. Access is restricted to users expressly authorised by the responsible institution. Signing in with a Google account does not, on its own, establish permission to access clinical information.
2. Professional responsibility
Users are responsible for checking the accuracy, completeness and timeliness of information they enter. WIINS OT supports clinical work but does not replace professional judgement, contemporaneous medical records, hospital policies, local emergency processes or applicable safety checklists. Users must follow approved escalation and correction processes for inaccurate or incomplete entries.
3. Confidentiality and permitted use
Users must access only information required for their assigned work, protect patient confidentiality, avoid sharing account credentials or unauthorised screenshots/exports, and comply with institutional security policies. Research extracts and data sharing require the applicable approvals. Unauthorised access, bulk extraction, misuse or attempts to circumvent role restrictions are prohibited.
4. Accounts and access
Access may be granted, modified, suspended or withdrawn by WIINS in accordance with its governance procedures. Users must protect their Google account and report suspected account compromise or unauthorised disclosure through the hospital's approved channels.
5. Availability and incident reporting
WIINS OT may be unavailable during maintenance, infrastructure incidents or network outages. Clinical teams must use WIINS-approved fallback documentation and operational procedures when digital access is unavailable. Suspected data or safety incidents must be escalated promptly through the hospital's established channels.
6. Clinical and research information
Patient and institutional data must be handled according to hospital policies, relevant ethical approvals, confidentiality obligations and applicable law. The rights and responsibilities attaching to clinical records, audit trails and research data are governed by WIINS arrangements and law, not merely by access to this application.
7. Services and updates
The application uses external identity and infrastructure services. The institution must approve relevant service arrangements and any material changes to the application's purposes, access model or information-handling practices. Terms may be updated after appropriate review and publication of a new effective date.
8. Governing arrangements and contact
These terms are subject to the responsible WIINS legal entity's approved agreements, governing law and institutional policies. The exact contracting entity, official contact, applicable jurisdiction and effective date remain [to be confirmed before publication]. No unapproved limitation of legal or professional duties is intended.
